Staffing and safety for venues, parks and attractions

From theme parks and stadiums to arts centres and golf clubs, we help leisure operators staff the busy days and the quiet ones. RotaOne plans and records every hour, and the same clocking devices feed Musterd’s live roll call when a site has to be cleared.

The challenges

What makes leisure hard to staff and keep safe

Leisure runs on peaks: school holidays, match days, festival weekends and long summer evenings. The hard part is matching a flexible, often young workforce to demand, while knowing exactly who is on site if you need to clear it.

  1. 01

Demand that changes by the day

Weather, bookings and fixtures move footfall at short notice, and casual and zero-hours staff fill the gaps. The Employment Rights Act 2025 will add duties to give reasonable notice of shifts and to compensate short-notice cancellations, expected from 2027, so late changes will cost more.

  2. 02

    Young and seasonal workers

Many attractions take on school-age staff and students for the season. Children of school age usually need a work permit from the local authority, and under-18s need a specific risk assessment and longer rest breaks, with tight limits on night work.

  3. 03

    Holiday pay for irregular hours

Since April 2024, holiday for irregular-hours and part-year workers can accrue at 12.07% of hours worked and be rolled up into pay. Getting it right depends on an accurate record of every hour each casual worker actually works.

  4. 04

Crowds, open sites and Martyn’s Law

Stadiums, arenas and parks hold thousands of people across wide, often outdoor sites. HSE crowd guidance expects a plan for emergencies, and the Terrorism (Protection of Premises) Act 2025 adds evacuation, invacuation and lockdown procedures for larger venues.

RotaOne

RotaOne for seasonal and event-day teams

Plan the season in patterns, add event-day shifts as fixtures and bookings land, and let staff pick up open shifts from their phones. Every clocking feeds payroll reports, so you can compare planned and actual labour cost for each venue or department.

  • Rotas that follow the calendar

Build regular patterns for your core team and add ad-hoc shifts in seconds for match days, concerts or half term. Drag and drop to move cover, and set minimum staffing levels so gates, rides and kiosks always have the people they need.

  • Open shifts filled from the app

Publish rotas to the self-service app, where casual staff see unfilled shifts, request overtime and book time off. They clock in on their phones with the location recorded by GPS, or at a facial recognition, fingerprint or RFID device.

  • Qualifications kept in date

Record the skills and qualifications each post needs, from first aid to lifeguard and stewarding, with expiry dates so renewals show up before they lapse. Under-staffing alerts flag gaps in key roles before the gates open.

  • Holiday and pay for irregular hours

Leave allowances can be fixed, variable or zero-hours based, and real-time data keeps payroll accurate. Payroll exports go out in the format and frequency your payroll needs, with costs for each person, department or the whole site.

The RotaOne features that matter most

Musterd roll call and evacuation app illustrated on two smartphones: the live list of who is safe, and the site map with zones
Musterd

Musterd for sites full of visitors

When you have to clear a stand, a park or an auditorium, Musterd shows in real time which staff are safe, which are unsafe and where they were last seen, on the phones and tablets your marshals already carry.

  • Zones across sprawling sites

Map your grounds as zones on interactive site maps, give each muster point its own team and pinpoint locations with what3words. Musterd keeps working in the dark and in bad weather, which matters on open-air sites and after evening events.

  • Find the staff still unaccounted for

Instant UNSAFE alerts show who has not reached safety, and you can text unsafe people straight from the app. Staff who need help to evacuate are flagged, so marshals know who to reach first.

  • Ready for Martyn’s Law

Venues expecting 200 or more people fall under the Terrorism (Protection of Premises) Act 2025, with an enhanced tier from 800 and at least 24 months to prepare before enforcement. Musterd helps you rehearse evacuations and keep a report of each one.
