On-call rotas and safety for IT and telecoms

RotaOne and Musterd are built for the way IT and telecoms teams work: service desks around the clock, engineers out in the field and hybrid offices. Rotas, clockings and roll call share one set of data, so the people you schedule are the people you can account for.

Why Thinking Software

Built for round-the-clock service

Since 1994 we have built time and attendance for organisations that never fully close. IT and telecoms teams share that rhythm: service desks that run through the night, network operations centres, secure data halls and engineers who start the day at a customer’s door rather than an office.

  • On-call, support and hybrid patterns planned in one place
  • Hours recorded wherever they are worked, ready for payroll
  • The same picture of who is on site runs your roll call
The challenges

The pressures on IT and telecoms teams

Keeping services running means people on call, people on the road and people in secure buildings. These are the workforce and safety issues UK IT and telecoms employers face.

  1. 01

On-call time can count as working time

UK tribunals have found that standby can be working time under the Working Time Regulations 1998 where workers must respond fast, stay nearby and stay alert. On-call rotas need watching against the 48-hour average and rest breaks.

  2. 02

Night cover has its own limits

Night workers’ normal hours should average no more than eight in each 24, and they must be offered a free health assessment. Overnight service desk and network operations rotas need to respect both.

  3. 03

    Engineers working alone

Field and network engineers often work alone, at height or in customers’ premises. HSE guidance says employers must assess the risks to lone workers and keep in touch with them, and falls from height remain a leading cause of workplace deaths.

  4. 04

    Secure buildings, critical services

UK data centres were designated Critical National Infrastructure in 2024. Data halls are access controlled and staffed around the clock, so in an evacuation you need to know exactly who is inside and who has already left.

RotaOne

RotaOne for IT and telecoms

Plan on-call and shift rotas, record time wherever people work and pass accurate hours to payroll. Every RotaOne feature is included, from the rota planner to payroll exports.

RotaOne time and attendance software illustrated on a laptop, tablet and desktop: reports, a team member clocked in, and the weekly rota
  • On-call rotas in minutes

Create regular shift patterns and ad-hoc cover in seconds, automate future patterns and drag and drop shifts to move people between the service desk, the operations centre and the on-call list.

  • Cover for every skill

Record skills and qualifications, set minimum staffing levels for key people and receive under-staffing alerts, so every shift has someone able to handle a major incident.

  • Clock in from the van

Engineers clock in remotely in the app, with their location recorded by GPS, and check their schedules, breaks and overtime without calling the office.

  • Overtime and callouts paid right

Compare planned and actual hours and costs, keep an eye on overtime as it builds and send payroll exports that are complete, properly formatted and ready on time.

The RotaOne features that matter most

Musterd roll call and evacuation app illustrated on two smartphones: the live list of who is safe, and the site map with zones
Musterd

Musterd for offices and data centres

Musterd shows, at every moment, who is on site, who is off site and who is missing. Fire marshals work from smartphones, tablets or specialist devices, and you can oversee the incident remotely.

  • Know who is in the hall

Clockings from facial recognition, fingerprint or RFID devices feed Musterd roll calls, so you start from who is actually inside, and anyone not yet confirmed safe is flagged UNSAFE.

  • Oversight from anywhere

Your operations or security lead can follow the incident remotely, see where responders are and text anyone still UNSAFE, even if they are off site themselves at the time.

  • Every site, every report

Run roll calls across offices, exchanges and data centres from one system, set out zones on interactive site maps and keep a post-event report of each evacuation.
