Rotas, time and safety for charities and not for profit

We support charities that run historic homes, training programmes and community buildings, where every hour of staff time has to justify itself. RotaOne keeps rotas and pay accurate, and Musterd keeps the people in your buildings accounted for.

The challenges

What charities and not-for-profits are up against

Charities stretch limited budgets across staff, services and buildings, often with fewer volunteers than they once had. These are the pressures we see most.

  1. 01

Staff time has to be accounted for

Staff costs are usually the largest line in a charity budget, and trustees and funders want to see where the money goes. Hours held in spreadsheets are hard to cost against a service, a site or a grant.

  2. 02

Fewer volunteers to fill the gaps

The government’s Community Life Survey shows formal volunteering in England has fallen over the past decade, and NCVO research points to a drop in volunteers’ intention to continue. Paid staff end up covering more shifts.

  3. 03

    Irregular hours and holiday pay

Since April 2024, holiday for irregular-hours and part-year workers accrues at 12.07% of hours worked, following the Harpur Trust v Brazel ruling. Sessional and relief staff need their leave worked out correctly.

  4. 04

    Public buildings and Martyn’s Law

Under the Terrorism (Protection of Premises) Act 2025, premises expecting 200 or more people come into scope, and places of worship stay in the standard tier even above 800, needing evacuation, invacuation and lockdown procedures.

RotaOne

RotaOne: every hour planned, recorded and costed

RotaOne brings your rotas, clockings, absence and payroll reports into one app, so you can show trustees exactly what your staffing costs. One price covers every feature, which keeps budgeting simple.

RotaOne time and attendance software illustrated on a laptop, tablet and desktop: reports, a team member clocked in, and the weekly rota
  • Budgets set before the rota goes out

Set staffing budgets for each department or service, then review planned against actual costs as the weeks go by, so overspend shows up while there is still time to act on it.

  • Leave right for every kind of contract

Holiday allowances can be fixed, variable or zero-hours based, and staff can only request the leave they are entitled to, so part-year and relief workers are treated correctly.

  • Reports ready for trustees and funders

Costings for individuals, departments or the whole organisation, with custom payroll reports in seconds and absence reported by hours and cost, give you figures you can put in front of a board.

  • Staff help themselves in the app

People see their rotas, book time off, pick up unfilled shifts and read handbooks in the self-service app, which saves your small office team from chasing messages and paper forms.

The RotaOne features that matter most

Musterd roll call and evacuation app illustrated on two smartphones: the live list of who is safe, and the site map with zones
Musterd

Musterd: a clear roll call in every building you run

From halls and homes to places of worship, Musterd shows who is on site, who is off site and who is missing during an evacuation. It runs on the smartphones and tablets your team already carries.

  • Ready for Martyn’s Law

Martyn’s Law gives responsible persons an implementation period of at least 24 months before enforcement. Musterd supports the evacuation and communication procedures the standard tier asks for, with a report after every drill.

  • No one who needs help is missed

Disabled personnel who need assistance are flagged so marshals go to them first, and anyone still UNSAFE can be texted straight from the app.

  • Simple enough for any marshal

Musterd is built to be simple to use, so a fire marshal at a community centre can run a roll call with confidence, and multi-site oversight lets your head office follow every building at once.
